Severity. High means the value is far enough out that it is more likely a data problem than a business result. Medium is worth asking about. Minor is a movement worth noticing, not necessarily fixing.

Expected range is a plausibility band, not a target. It is the range this figure normally falls in for a towing operation. Landing outside it is not a judgment on the business — it is a prompt to check whether the number is right. Some companies fall outside legitimately: if you own your building outright, Lease/Rent near zero is correct.

History. “3 of 7” means the check fired in three of the seven months on file. New means it started this month — look for something that changed recently, like a new bookkeeper or a revised chart of accounts. Chronic means every month since the first submission, which usually points to a routing choice made on the very first upload. Those choices are saved per company and reapplied automatically, so one wrong pick repeats silently.

Misfiled vs missing. If a category is out of range but Total Expense is normal, the money is in the file and landed in the wrong bucket — a mapping fix. If Total Expense is also low, the money is not anywhere, and the P&L itself is probably incomplete. The banner at the top of each company says which.

Where to look on the P&L. When a flag shows a blue box, the report has found the specific line likely responsible — unrouted, misrouted, or a subtotal that should never have been mapped. It matches on label wording, so treat it as a strong lead rather than a verdict, and confirm with the owner before remapping.

The “Their 2025” column is the most useful one. It shows what this same company reported for this same measure in their annual 2025 baseline. Percentages of revenue compare directly whether the period is a month or a year, so it is a like-for-like number. If a figure sits outside the industry band but matches their 2025 figure, that is how this business reports — the flag drops to Minor automatically. If a figure is inside the band but a long way from their own 2025, it flags as Vs. Own 2025, which a generic band would never catch.

Two findings can be one problem. Total Expense and Net Margin always sum to 100%, so they move together. Fix the underlying category and both resolve. Do not count them as two separate issues.

Routing coverage. If a company’s banner reports that only part of the P&L reached a benchmark field, fix that first. Unrouted dollars are invisible to every ratio below, so the flags underneath are describing an incomplete picture.

Status and Note. Mark a flag Confirmed correct once verified with the owner and it stops appearing. If the number later changes, the flag returns — an acknowledgment only holds for the value it was given.
